9007-01 RIGHT-OF-WAY ACQUISITION RECORDS

Series is used as reference/verification of City easements and street dedications. It contains project documentation and includes record of negotiations on individual sewer projects, as-built drawings, street deeds, street vacations and real estate purchases, street widening and railroad crossing agreements, easements for sewers and retaining walls and grade changes.

9007-02 RIGHT-OF-WAY ACQUISITION INDEX

Series is used to locate right-of-way acquisition records for specific projects. Record consists of listings by acquisition project. Index includes street name, file number, and location of action. Records are cross-referenced numerically and alphabetically.

9007-03 STREET VACATION RECORDS

Series is used to prepare council documents necessary for street vacations. Records have been returned by petitioner to the city for action. Records include original executed petition for vacation of street right of way, map of street to be vacated, abutting property owners' signatures, and reason for vacation request.

RETENTION: Permanent. Included in Right-of-way Record after petition has been processed.

9007-04 STREET VACATION PETITION RECORDS - NOT RETURNED

Records are created to begin vacation process. These records have not been completed for various reasons. Records are created when a street vacation petition is sent out requesting that a public right-of-way be vacated and returned to private ownership. It includes petitioner's written request, copy of petition, and exhibit map.

RETENTION: 5 years

9007-05 ROAD PROCEEDINGS - FORMER COUNTY ROADS

Series is used to research the creation, extension and disposition of former County roads now in the city's jurisdiction. Jurisdiction of Multnomah County roads, and the road proceedings files were transferred to the City in the 1980s. Series is the county's record of creation, extension and disposition of roads. Records may contain copies of County Orders, petitions, conveyance documents, easements, street vacation proceedings, right-of-way information, realignments, extensions, deeds and correspondence. Records currently are files from Multnomah County.

9007-06 FORMER COUNTY ROAD RECORDS

Records are used to research the creation, construction and development of former Multnomah County roads. Jurisdiction of these roads (and the road files) was transferred to the City in the 1980s. Records are Multnomah County's record of creation, construction, inspection, widening and use of county roads. Files may contain construction contracts, construction/inspection records, plan sheets, traffic control records, correspondence, structural information, storm agreements, and Viewer's Reports.

9007-07 RIGHT-OF-WAY LEASE RECORDS

Series created to record lease payments and agreements and to administer conditions/restrictions/regulations of leased areas. Records consist of leases of subsurface of right-of-way, air rights above right-of-way and right-of-way beneath bridges and overpass. It includes correspondence, records of lease payments, insurance, ordinances authorizing leases and original lease document.

RETENTION: Term of lease plus 10 years

9007-08 RIGHT-OF-WAY APPRAISAL RECORDS

Series used to document property appraisals on property acquired for public right-of-way. Records consist of appraisal reports.
Record Copy? Yes
RETENTION: Retain as needed. Incorporate Appraisal Report in Acquisition Records (9007-01) when property is purchased.
