7202-01 NATURAL RESOURCES PROJECT RECORDS

Series is used in planning and maintaining projects dealing with natural resource areas. Series is the policies and procedures developed to respond to issues that have impact on natural resource areas owned and managed by the Portland Parks Bureau. Records may include studies, reports, plans maps, drawings, photographs, aerial photos, wildlife inventories, consultant records, correspondence, etc. Series includes management plans, master plans, special permits, wetland issues, and other related topics. Series includes records created by Golf Courses, Portland International Raceway (PIR) and Hoyt Arboretum.

7202-02 NATURAL RESOURCES REFERENCE AND WORKING RECORDS

Series is the working records used to develop policies and track issues that impact natural resource areas. Series is created to track the management of natural areas. Records are generally drawn from outside sources and other bureaus. Records include studies, reports, plans, maps, drawings, correspondence, notes, friends groups, acquisition information, impact statements, caretaker records, project manuals, special permits, brochures, master plans, and special permits, etc. Note: Some records contained in these files may be exempt from disclosure under ORS 192.501 through 192.502. Consult your agency's legal counsel for assistance before releasing information.

RETENTION: Retain as needed. Incorporate appropriate records into Natural Resources Project Records.

7202-03 TRAIL INVENTORY RECORDS

Series is created to document the trail system and the 40 mile loop. Series is used to manage trails and property and to identify objectives and property acquisition areas needed to continue trail development. Records include trail inventory, measurements, maps, overlays, photographs, easements, ordinances, and other records used to describe and inventory the trail system. Series includes databases used to track inventory.

7202-04 METRO GREEN SPACES QUARTERLY REPORTS

Series is created to report on acquisitions and improvements in local target areas identified under the Metro Greenspaces initiative. Series is used by staff to report to Metro on how money was spent per intergovernmental agreement. Records include the quarterly report which contains budgetary summary information, acquisitions, projects, summaries, descriptions of accomplishments, report periods and other related data.

7202-05 METRO GREEN SPACES QUARTERLY REPORTS-WORKING RECORDS

Series is created to provide information for the Quarterly Report (7202-04). Series is the detail information collected on how money was spent per intergovernmental agreement with Metro. Records include the accounting records compiled for the quarterly report. Records may include budget records, acquisition financial records, project information, IBIS reports, audited vouchers, TARS, and other similar records.
